Privacy policy

This is written to be read rather than to be legally impressive. If anything here is unclear, ask us and we will explain it.
What we collect, and when
We collect information in exactly one place: the trial class booking form, and any message you send us directly. We do not require an account, and there is nothing to sign up for.
When you send a trial class request we store:
- Your name and WhatsApp number, so we can reply.
- Your email address, if you choose to give it. It is optional.
- The student’s year group, subject, exam board and level, and what you told us about the situation.
- Your preferred lesson times.
- The page you were on when you sent the form, the site that referred you, and any campaign tags in the link you arrived through.
- A one-way cryptographic hash of your IP address.
That last one deserves an explanation. We hash the address with a secret key and store only the result, which lets us apply a rate limit to stop automated spam without keeping a record of where anybody actually is. The original address is never written to disk.
What we do not collect
- No home address. We teach online only and have no reason to know where you live.
- No payment details on this site. There is no checkout here. Invoicing happens separately, by bank transfer.
- No advertising or tracking pixels. No ad networks, no retargeting, no social media trackers, no chat widgets.
- No cookies for tracking. The site sets no cookies of its own.
Analytics
If analytics is enabled on this site it is Google Analytics 4 with IP anonymisation, used to see which pages people find useful. It is not used to build profiles of individuals or to target advertising, and nothing you type into the booking form is sent to it.
Why we are allowed to hold it
Because you asked us to contact you. You gave us your details for a specific purpose: to arrange a trial class, and we use them for that purpose and for the tutoring arrangement that may follow. We do not use them for anything else, and we will not send you marketing you did not ask for.
Who else sees it
The tutor who would teach your child sees what is relevant to teaching them. Our email provider processes the notification email, and our hosting provider stores the file the record sits in. Nobody else. We do not sell, rent, share or trade your details with anyone, ever, not to other tutoring companies, not to lead brokers, not to anyone.
How long we keep it
Enquiry records are kept for 730 days, about 2 years, and then deleted. That window exists because families often come back a year or two later for a younger sibling, and it is genuinely useful to have the earlier context. If you would rather we deleted yours sooner, say so and we will.
Your rights
You can ask us, at any time, to:
- Tell you exactly what we hold about you.
- Correct anything that is wrong.
- Delete everything.
- Stop contacting you.
Email info@tutorfaculty.com and we will action it within thirty days, usually much sooner. You do not need to give a reason, and asking will not affect any tutoring arrangement.
Children
The booking form is for parents and guardians. We do not knowingly collect information submitted directly by a child, and where a student is under 18 we deal with the parent or guardian on questions of records and consent.
Security
The site is served over HTTPS. Enquiry records are stored on the server rather than in a third-party database, IP addresses are hashed rather than stored, and form submissions are protected against cross-site request forgery and rate-limited against automated abuse. No system is perfect; if you believe something here is wrong, please tell us.
Changes
If this policy changes materially we will change the date at the top and, where it affects people we already hold records for, tell them directly.
